COLLECTIONS PROCEDURES
Financial Data Systems enters and acknowledges all accounts within
48 hours of receiving them from the client. The following
will be included in your acknowledgement to ensure accuracy:
- Name of the Debtor
- Financial Data Systems Account Number
- Your Account Number
- Balance of the Account
Following the acknowledgement and accuracy of the accounts, they will
be downloaded to our mail supplier and the debtor will receive their
first notice within a few days. The first follow-up call from our
professional telephone collectors will occur five days from the debtor's
first mail notice. After contact with the debtor, an arrangement
will be made to satisfy the outstanding debt that will benefit the
debtor, the client and FDS.
If no contact has been made after 10 days from the first notice, FDS
will send a second reminder notice to the debtor informing them that
they still have time to pay the debt before more drastic collections
are enacted. Following the debtor's thirty day grace period a third
and final notice will be mailed, and the debt will be reported to
the Credit Bureau, unless the client chooses to report at a later
date.
Utilizing our state of the art DAKCS software, Financial Data Systems
automates and prioritizes all accounts, saving both time and money
for all involved.
TECHNOLOGY
Our collection software, DAKCS, is the quality and performance leader
among suppliers of PC-based collection software. DAKCS offers
complete financial control with its unique report features, which
include over 115 standard reports. The system is completely automated
which means our time is spent collecting your money and not manually
calling and downloading accounts. Combining DAKCS with our predictive
dialer, VIC guarantees all accounts are worked thoroughly.
SKIP TRACING
Accounts that require skip tracing will matched against national
databases provided by our software DAKCS. These accounts are
skip traced and updated on a daily basis. To limit dead letters
FDS runs each notice through the National Change of Address Registry
to ensure address accuracy.
ACCOUNTING
Payments received from debtors will be posted to their account that
same day, and the balance will be adjusted. We ask that payments
made directly to the client be reported to us within 48 hours
to avoid unnecessary correspondence with debtors. On the last
day of the month we will run a collection final to calculate
the total collections for that month. The next day we will print
checks and remittance statements and have them sent the same
day. Clients have an option of receiving a check for Gross collections,
or a check with Net collections.
